The questions you would not ask on the call

Plain answers, no spin.

Most of the questions a buyer has at $5K to $120K never get asked out loud. They block the booking instead. Here are the answers, written as plainly as we would tell you over the phone.

i.

The firm.

Is this really a one-person firm?+

Yes. Evolve Agentic is operator-led by Victor Diaz. The person who scopes your work is the person who builds it. No junior intake, no agency hierarchy, no project manager forwarding your questions to someone you have never met.

This is a design decision, not a limitation. It is what makes the quality bar possible and why the pricing works.

How many engagements do you take at once?+

Three to five active engagements at any time. Productized installs are shorter (one to two weeks) so the mix rotates. Custom builds run longer and limit how many we accept in parallel.

If the calendar is full, we say so on the fit call and offer a start date. We do not overbook to fit a quota.

Where are you located?+

Central Florida, US. Eastern Time. We work with teams across all US time zones and have clients globally. Most communication is async via written channels with scheduled live calls when needed.

Is Evolve Agentic part of a larger business?+

Yes. We are part of the Evolve family alongside Evolve Estates Group (real estate team), Evolve University (education), and Evolve Studios (media). Evolve Agentic is the technology and services arm. Same ownership, distinct operations.

What are your specialties?+

Real estate teams are our deep specialty and the vertical the firm was born from. Beyond that, we serve coaches and course creators (we run Evolve University ourselves), and small to mid-size businesses across professional services, e-commerce, agencies, local services, and B2B SaaS.

Engagement.

Do you sign NDAs?+

Yes. We sign mutual NDAs before the paid scoping consultation or any access to client systems. Standard one-way NDAs from your team also work. We have our own mutual NDA template if you need one.

What does the contract look like?+

Productized installs and scoped projects run on a written Statement of Work (SOW) that defines deliverables, milestones, payment terms, and acceptance criteria. Custom software builds and retainers run on a Master Services Agreement (MSA) plus SOW.

Both are short, plain-English documents. No 40-page legalese.

Can I skip the fit call if I already know what I want?+

For productized installs ($5K, fixed scope), yes. We can move directly to SOW and deposit if you have a clear ask and the timing works.

For everything else, the fit call protects both of us. It takes 15 minutes and it filters out engagements that look right on paper but are misaligned in practice.

Can you work with my existing tools?+

Almost certainly yes. We are platform-agnostic, which means we install any CRM, any deal tracker, any community platform, and most modern business tools. See the platforms page for the categories we cover.

If you use something we have not seen before, we tell you on the fit call and either learn it or recommend a better path.

What if my situation is unusual?+

Unusual situations are usually our best work. The Chrysalis platform was built because off-the-shelf options were not enough for our own operation. If your situation requires custom software, agentic workflows, or an integration nobody else has done, that is a Track C or D engagement and we will scope it honestly.

Pricing & payment.

Why is the rate $300 per hour?+

Operator-led work, no agency markup, one year of support built into every install. The rate compares to senior independent consultants in our space, not junior agency talent. If you compare line-item to line-item with cheaper alternatives, what you are buying is fewer revisions, faster delivery, and a system that survives handoff.

Is the $500 scoping consultation refundable?+

Not refundable, but credited to the engagement if we move forward. If we determine on the call that we are not the right fit, you keep the recommendation and we recommend an alternative. The $500 covers the live audit and the scope sketch, both of which retain value either way.

The fit call before this is free, so by the time you pay $500 we have both confirmed there is a real project here.

Do you offer discounts?+

Rarely. We discount only when there is a clean trade: a discounted pilot install in exchange for an on-camera testimonial, a multi-engagement bundle, or a referral. We do not negotiate rates as a sales tactic. The price you see is the price we charge.

What payment methods do you accept?+

ACH and wire are preferred and have no fee. Credit card adds a 3% processing fee passed through directly. International wires are accepted in USD only. Invoices net-15 by default.

How is project work billed?+

Productized installs and scoped projects: 50% deposit on signed SOW, 50% on accepted delivery. Custom software and retainers run on time and materials, billed weekly with a detailed time report and invoice every Friday. No mystery hours.

Larger custom builds (over $50K) can be structured with three or four milestone payments instead of 50/50 to reduce upfront exposure for both sides.

Process & timing.

How long does a typical project take?+

Productized installs ship in one to two weeks. Scoped multi-platform projects run four to eight weeks. Custom internal tools eight to fourteen weeks. Full custom platforms twelve to twenty-four weeks. Real timelines are agreed in the SOW after the scoping consultation.

What if my deadline is aggressive?+

We tell you honestly whether it is feasible. If yes, the cost may go up to reflect prioritization over other engagements. If no, we recommend an alternative scope that fits the deadline, or we decline. We do not promise dates we cannot hit.

How do you handle scope changes?+

Change requests are quoted before they are touched. We send a written change order with additional hours, price, and timeline impact. You approve or decline. Nothing new gets built without your written approval, and nothing already in the SOW stops to wait for the new piece.

What is the weekly communication cadence?+

One weekly progress update with a screen recording or live demo, depending on the engagement. Async communication during the week through a shared channel (Slack, email, or the channel of your choice). Live calls scheduled as needed but not on a fixed schedule unless you want one.

What is the typical response time?+

Active engagements: within 4 business hours during weekdays for routine messages, within 1 hour for urgent issues during US Eastern business hours. Pre-engagement inquiries: within 24 hours. Weekends are not response windows by default; emergencies are negotiated separately.

What happens when the project ends?+

You receive the deliverable plus training, Loom walkthroughs, and written SOPs. We close the SOW and activate the 1-year email and text support channel. If you want ongoing work, we discuss a retainer. If you want to stop, we stop cleanly.

Data & security.

What access do you need to my systems?+

The minimum access required to do the work. Almost always admin or owner access to the specific platform being installed, scoped credentials for integrations, and read-only API access where applicable. We do not ask for broader access than needed and we revoke access on project close.

How do you protect my data?+

Credentials are handled through password managers (1Password or equivalent), never in plain text. Client data is processed inside your own systems wherever possible. We do not export client data to our own machines unless required for migration, and any local copies are destroyed at project close.

For AI workflows, sensitive data is PII-scrubbed before any external API call. Local Claude models are used for high-sensitivity work where available.

Will my data be used to train AI models?+

No. Anthropic does not train on API data by default, and we use the API. We do not feed client data into model training pipelines under any circumstances, and our agreements with you reflect this.

Do you use AI in your work?+

Yes. We use Claude extensively in our own engineering and operations work. The output is reviewed and owned by the operator before it touches client systems. AI is leverage, not replacement.

What happens to my data after the engagement?+

All client data we hold is destroyed within 30 days of project close, except where retention is required for support purposes during the 1-year support window. After the support window, residual data is also destroyed. You receive a deletion confirmation on request.

Outcomes & risk.

What if I am not satisfied with the deliverable?+

Acceptance is defined in the SOW. If the deliverable does not meet the agreed acceptance criteria, we fix it at no additional cost. If after revisions you are still not satisfied and the failure is on our side, we issue a partial or full refund depending on the situation. We have never had to do this, but it is the policy.

What if you get sick or unavailable?+

Key person risk is real for any operator-led firm. Our continuity plan: written progress notes after every working session, accessible to you on request; documentation and code in your systems, not ours; explicit handoff packets at every milestone. If something serious happens, you have the artifacts to continue or hand off to another team.

For longer engagements, we discuss continuity options upfront.

Do you provide ongoing support?+

Yes. Every install includes 1 year of email and text support at no additional cost. For ongoing development or strategic work, we offer a $4,800/month retainer (20 hours, rolling-month commitment).

Can I cancel a retainer?+

Yes, with two weeks notice. Retainers are rolling-month, not annual contracts. Unused hours in the final month are not refundable but transfer to a written deliverable of equivalent value if you want.

Will you provide references?+

Yes, after the fit call. Most client work runs under NDA so we cannot publish named references on the site, but we can connect you privately with prior clients in your category once we know your engagement is real.
